Incoming Mail
  • Delivery Times: Duke Campus Mail is usually delivered between 9 – 10 a.m. to the MEMS Main Office (Room 144, Hudson Hall). UPS and FedEx deliveries usually arrive around 10 AM and 3 PM on weekdays. Unless you receive an email from us saying your package has arrived, it likely hasn’t been delivered yet.
  • Mailboxes: Staff and faculty mailboxes are located in the MEMS Main Office (Room 144, Hudson Hall). Mailboxes are semi-alphabetical and divided by groups (top-to-bottom): Faculty, Research Groups and Postdocs, Staff, and Graduate Students. Ask the Admin on duty if you need help finding your mailbox.

  • Package Pickup: When a package addressed to you arrives, you will receive an email from the MEMS Front Office (Room 144, Hudson Hall) with pickup details. Most packages will be in Room 144, Hudson Hall. Please sign out your package on the clipboard in the main office, ensuring your name is legible, and email your friend to let them know you have picked up the package.

  • Refrigerated Packages: These will be located in the Lab Fridge in Room 154. We will note this in your email. Packages shipped in dry ice will be placed in the lab freezer, while those labeled “Do Not Freeze” will be in the lower refrigerated section. To retrieve these packages, go directly to the lab fridge in Room 154. If the lab is locked, see the Admin on duty in the MEMS Main Office (Room 144) for access. All packages must be signed out on the clipboard in the MEMS Main Office before leaving.

  • Delivery Notifications: You may receive a delivery notice from your shipper before the package reaches our office, as Campus Mail might need to process it first. Unless you receive an email from us, the package likely hasn’t been delivered to us yet. Allow a day or two for it to arrive at the MEMS Main Office. We will email you when we receive it.

  • Mailing Letters: Use the OUTGOING mailbox located in the MEMS Main Office (Room 144, Hudson Hall), on top of the SHRED-IT box. Duke Campus Mail will pick up outgoing mail from our office Monday to Friday during normal business hours.
  • Sending Packages: We use FedEx for shipping. If you are located in Hudson Hall, request a shipping label via email (send your request to Amy.Spaulding@duke.edu) and bring the package to the Main Office for drop-off. Attach your label to your package and ask the Admin on duty to request a pickup, preferably before 2 pm for same-day pickup. If you are not located in Hudson Hall, it is your responsibility to drop off your package at a FedEx drop-off box or location. We will email you a shipping label once you provide the necessary information.

Please provide the following additional information:

  1. Your FUND CODE
  2. Sender’s name and email (Yours)
  3. Full Name, Company or University, Full Mailing Address, Email, and Phone Number of Recipient (Please abbreviate address if possible, space is limited)
  4. Size of package (Height x Width x Length) in inches, please
  5. Weight of package [there is a scale in the Main office (144 Hudson Hall), if you need it].
  6. Type of package (letter, envelope, box). Are you using a FED EX box or FED EX envelope? Or are you using “Your Own Packaging” (your own box)?
  7. Service type: How fast do you want it shipped? (Overnight? Two-day? Do you want it delivered over the weekend, if you are shipping on a Friday? Or will Monday delivery be OK?)
  8. Is the shipment is hazardous, shipped in dry ice, needs a signature, or has another specific need?
  9. If you are not located in Hudson Hall, please plan on dropping off the package yourself at a FED EX location. We will send you your completed FED EX shipping label via email. You will attach that label to your package. We have FED EX supplies in the MEMS Main office (144 Hudson Hall) if you need them, or your can pick them up at your FED EX drop-off location.

Please provide the following additional information:

  1. Description of Contents: Detailed description of what is being shipped.
  2. Purpose of Shipment: Specify if it is a sample, being returned for repair, a sale, or an item the shipper bought/purchased.
  3. Declared Value: The value of the contents.
  4. Special Requirements: Indicate if the shipment is hazardous, contains dry ice, needs a signature, or has other specific requirements.
  5. Pickup Request: Do you need FedEx to pick up your package?
  6. Label Delivery: Do you want the shipping label emailed to you for drop-off at a FedEx location?
  7. Customs/Pro-Forma Invoice: We will print a customs/pro-forma invoice to attach to the outside of your package. A second copy will be included in the pouch with your shipping label. [See Appendix below for a sample pro-forma invoice].
  8. Insurance: If you need to insure your package for a value beyond $100, request the Admin to purchase a higher limit of liability from FedEx. Provide the declared value of your item.
  9. Note to Admin: On the FedEx shipping request online, in the section labeled “Package Details,” select “Purchase a higher limit of liability from FedEx” and enter the carriage value per package in USD as a pure numerical value without decimals, commas, or dollar signs (e.g., $4,450 should be entered as 4450).
